JOB TITLE: Administrative Coordinator

DEFINITION
Under the general direction of the Executive Director, the Administrative Coordinator provides varied project management, technology support, and confidential administrative assistance for the Executive Director. The Administrative Coordinator prepares agendas and minutes for the Board of Directors and other committees, manages special projects, coordinates proposals and tracks grant-related deadlines, provides support for special campaigns, and provides event assistance. The Administrative Coordinator also serves as the back-up for other office staff and performs related work as assigned.

HOURS AND BENEFITS
Non-benefited position working 19.5 hours/week; preferred schedule is four days per week. Evening and weekend support needed for up to four events each year. Holiday office closures are unpaid.

EXAMPLES OF DUTIES (Illustrative only):

Assistance to Executive Director

  • Provides varied, complex, technical and often confidential administrative assistance for the foundation Executive Director
  • Based on the focus and standards of the foundation, drafts correspondence and other documents with little direction
  • Provides assistance and information to Cabrillo College Foundation donors and prospective donors
  • Receives and screens visitors and telephone calls and takes messages or refers callers to the appropriate person, office and/or program
  • Makes travel and lodging reservations
  • Provides support for events, which may include driving

Project Management

  • Coordinates proposals and grants: duties include maintaining deadline tracking system, researching guidelines, communicating with grantors, submitting proposals, and preparing reports
  • Organizes and maintains various project-related files

Board of Directors and Committee Support

  • Prepares agendas, materials, and minutes for meetings of the Foundation Board, Executive Committee, Finance Committee, Nominating Committee, Planned Giving Committee, and Touchbase with Cabrillo College President
  • Arranges logistical details for conferences and meetings, and provides support for other committees as needed
  • Maintains the Foundation’s Meeting and Event Calendar and Committee Roster
  • Interacts with volunteers for program and special event activities
  • Updates the donor database as needed

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Skilled in composing correspondence independently or from brief instructions
  • Comfortable with changing priorities in a fast-paced environment
  • Able to serve as an ambassador of the Cabrillo College Foundation as a first point of contact for telephone calls and visitors.
  • Computer savvy and comfortable using technology to streamline tasks and procedures; able to learn new technology and software quickly and troubleshoot computer and software problems as they arise
  • Advanced skill in Microsoft Office 2013 programs (Word, Excel, and PowerPoint) and Adobe Acrobat Pro; experience with Thunderbird or similar email program is helpful; experience with a donor database program is a plus
  • Able to be a self-starter and develop creative and resourceful solutions to tasks
  • Able to organize own work, set priorities, meet critical deadlines and follow-up on assignments with a minimum of direction
  • Able to coordinate with other team members and their deadlines to accomplish shared goals
  • Correct English usage, including spelling, grammar, punctuation, and vocabulary
  • Able to maintain confidentiality of information
  • Skilled in establishing and maintaining effective working relationships

PHYSICAL REQUIREMENTS

  • Able to work at a computer workstation for periods up to four hours at a time
  • Able to sit for up to three hours without breaks at meetings

Minimum Qualifications

  • Preferred A.A. or A.S. degree or completion of two years of college coursework.
  • Preferred a minimum of three years of experience working in an office environment.

HOURLY RANGE:
$19.00 - $22.00
